Who we are

Vowelle provides bespoke wedding stationery and seating chart printing services. We are the data controller for the personal information we hold about you.

What data we collect

When you place an order we collect:

• Your name and email address
• Your delivery address
• Your seating chart data — couple names, date, venue, guest names, and table assignments
• Payment information — processed securely by Stripe. We never see or store your card details.
• Order history and correspondence

When you visit our website we may collect standard server logs including your IP address, browser type, and pages visited. We use this only for security and to diagnose technical issues.

How we use your data

• To process and fulfil your order
• To send you order confirmation, dispatch notification, and tracking information
• To respond to your enquiries and resolve complaints
• To comply with our legal obligations (including tax records)

We do not use your data for marketing unless you have separately opted in. We do not sell your data to third parties under any circumstances.

Who we share data with

To fulfil your order we share necessary data with the following trusted third parties:

• Stripe — payment processing (UK/EU data)
• Prodigi / Gelato — print fulfilment (your name, delivery address, and chart PDF)
• Resend — transactional email delivery
• Railway / Supabase — hosting and database (UK/EU infrastructure)
• Cloudflare — PDF storage and CDN

All processors are contractually bound to handle your data in compliance with UK GDPR.

Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data (subject to legal retention requirements)
• Object to processing or request restriction
• Data portability — receive your data in a machine-readable format
• Lodge a complaint with the ICO (ico.org.uk)

To exercise any of these rights, email hello@vowelle.co.uk. We will respond within 30 days.

How long we keep data

We retain order records (name, address, order details) for 7 years to comply with HMRC requirements. Your seating chart data (guest names) is deleted after 90 days from dispatch. Email correspondence is retained for 2 years.

Cookies

Our website uses only essential cookies required for the site to function (session state, payment processing). We do not use advertising or tracking cookies, and we do not use Google Analytics or any third-party analytics service.

Changes to this policy

We may update this policy from time to time. Significant changes will be communicated by email if you have an active order. The latest version is always available at this page.

1. About us

Vowelle ("we", "us", "our") operates vowelle.co.uk. These terms govern all orders placed through vowelle.co.uk. By placing an order you confirm you are at least 18 years old and a UK resident or are ordering for delivery to a supported country.

2. Your order

By ticking the confirmation checkbox at checkout and placing your order, you confirm that you have reviewed your seating chart in full — including all guest names, table assignments, couple names, and date — and that the information is correct.

Your order is accepted when we send you an order confirmation email. We reserve the right to decline orders at our discretion. If we decline your order after payment has been taken, you will receive a full refund.

It is your responsibility to ensure all content submitted — including names, text, and any uploaded images — is accurate, correctly spelled, and that you have the right to use it. We are unable to edit personalised content once an order is placed.

3. Pricing

All prices are displayed in GBP and are inclusive of UK VAT where applicable. Prices are subject to change at any time. The price you pay is the price shown at the time you complete your order.

In the rare event that a product is displayed at an incorrect price due to a typographical error or system error, we reserve the right to cancel the order and issue a full refund, or to contact you with the corrected price before proceeding. We are under no obligation to fulfil an order at an incorrect price.

4. Colour and product accuracy

We take care to display our templates and previews as accurately as possible, but colours may vary slightly between the on-screen preview and the printed product. This is due to differences between screen calibrations, display technologies, and the print process. Minor colour variation is not considered a fault.

Product images on the site are for illustrative purposes. The finished product may differ slightly in appearance from template previews shown.

5. Personalised products and returns

All products are personalised to your specification and are therefore exempt from the standard 14-day right of return under the Consumer Contracts Regulations 2013 (Regulation 28(1)(b)).

We will, however, offer a free reprint or full refund if:

• Your print arrives damaged or faulty
• There is a printing error caused by us (not a content error in your submitted data)
• Your order does not arrive within the expected delivery window

To raise a quality issue, email hello@vowelle.co.uk with a photo within 14 days of delivery.

6. Cancellation

All orders are personalised and sent to print immediately upon payment. As such, we are unable to guarantee cancellation once an order has been placed. If you need to request a cancellation, email hello@vowelle.co.uk as soon as possible with your order reference. Each request is reviewed individually and at our discretion.

Where a refund is approved, it will be processed within 5–10 business days to your original payment method.

7. Delivery

Estimated delivery times are indicative and not guaranteed. We are not liable for delays caused by our print partners or couriers outside our reasonable control. If your order is significantly delayed, contact us and we will investigate and resolve it.

Risk of loss passes to you when the order is handed to the courier. For international orders, you are responsible for any customs duties or import taxes applicable in your country.

8. User content and intellectual property

Our template designs, artwork, and website content are our intellectual property and may not be reproduced without permission.

By uploading images or other content to your order, you confirm that you own the content or have obtained all necessary rights and permissions to use it for this purpose. You grant us a limited licence to reproduce that content solely for the purpose of fulfilling your order.

We accept no liability for third-party intellectual property claims arising from customer-supplied content. You agree to indemnify us against any such claims.

9. Website availability

We aim to keep vowelle.co.uk available at all times but cannot guarantee uninterrupted access. We are not liable for any loss caused by temporary unavailability of the site or our services.

10. Limitation of liability

Our liability to you is limited to the value of your order. We are not liable for indirect or consequential losses, including but not limited to losses arising from your wedding or event. Nothing in these terms affects your statutory rights as a UK consumer.

11. Privacy

We handle your personal data in accordance with our Privacy Policy, available at vowelle.co.uk. By placing an order you consent to us using your data to fulfil that order and communicate with you about it.

12. Changes to these terms

We may update these terms from time to time. The version in force at the time of your order is the version that applies to that order. We will notify you of significant changes by email if you have an active order.

13. Governing law

These terms are governed by English law. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
